Privacy Policy
Last updated: December 25, 2025
This Privacy Policy explains how Koinia ("we", "us", or "our") collects, uses, shares, and protects information when you use our apps, websites, and related services (collectively, the "Service").
This policy is intended to be clear and practical, especially because the Service may process sensitive relationship conversations.
1) Information we collect
We may collect the following categories of information:
- Account information: such as email address or phone number, authentication identifiers, and display name.
- Conversation and coaching data: messages you send, conversation context, and coaching-related prompts and outputs.
- Contacts and invites: contact names and invite metadata you choose to store in the Service.
- Usage data: app interactions, feature usage (for example, coaching usage counts), and diagnostic logs.
- Device and technical data: device type, operating system, app version, network identifiers, and similar technical information.
2) How we use information
We use information to:
- Provide, operate, and maintain the Service.
- Authenticate users and secure accounts.
- Generate coaching suggestions and AI-assisted drafts.
- Personalize and improve your experience.
- Detect, prevent, and respond to fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our Terms.
3) AI processing and third-party model providers
The Service may send portions of your inputs (such as messages or prompts) to third-party service providers that help us provide AI functionality (for example, hosted language model providers). Those providers may process data on our behalf under contractual terms.
We try to minimize what we share and use it only for providing and improving the Service, subject to this policy and applicable agreements. Because provider practices can vary, please understand that exact processing and retention may depend on the providers we use at a given time.
4) How we share information
We may share information in the following situations:
- Service providers: with vendors that help us run the Service (hosting, databases, authentication, notifications, analytics, AI processing).
- Legal and safety: if required by law or to protect rights, safety, and security.
- Business transfers: in connection with a merger, acquisition, or sale of assets.
We do not sell your personal information.
5) Data retention
We keep information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Retention may vary depending on the type of data and how it is used.
6) Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system can be guaranteed 100% secure, and you use the Service at your own risk.
7) Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing.
You can also control certain information in-app (for example, profile or contacts). To request help with privacy rights, contact us (see “Contact” below).
8) Children
The Service is not directed to children. If you believe a child has provided personal information to the Service, contact us and we will take appropriate steps.
9) International users
We may process and store information in countries other than where you live. Those countries may have different data protection laws.
10) Changes to this policy
We may update this policy from time to time. We will post the updated policy and update the “Last updated” date. Your continued use of the Service after the update becomes effective means you acknowledge the updated policy.
11) Contact
For privacy questions or requests, contact us through the support channel listed in the app.
